Terms and Conditions of The Open Room


We offer a confidential service and any information given to us during the therapy process is not to be used against the other party in a judicial setting of any kind, be it civil, criminal, or circuit. Everything we discuss remains confidential.

We operate a policy of ‘no secrets’. This means we will not keep secret from one partner anything the other partner describes if it is relevant to the therapy. We believe that therapy only works when rooted in the truth.  All client notes prepared from our work will be retained as per Data Protection. Any material created within the session either written or verbal will be held in safe storage.

The only occasion that we would break confidentiality is when you tell us something that affects the safety of a child or when you are likely to be a serious risk to yourself or someone else.


Face to face appointments will ordinarily be 50 minutes in duration, once per week at a time we agree on, although some sessions may be more, or less, frequent as needed. The time scheduled for your appointment is assigned to you, and you alone. If you need to cancel or reschedule a session, once we have verbally agreed dates, we ask that you provide us with 2 weeks’ notice.

Cancellation of face to face and group sessions:

If you miss a session without cancelling, or cancel with less than 2 weeks’ notice, the full payment will be due [unless we both agree that you were unable to attend due to circumstances beyond your control]. If it is possible, we will try to find another time to reschedule the appointment/group.

Cancellation of Skype sessions:

If you are unable to attend having scheduled and agreed the date with us, we ask that you provide us with three full working days’ notice of cancellation. Without this, full payment is due. We will wherever possible try to find another time to reschedule the appointment alongside.

Contacting us outside of your appointment:

We are often not immediately available by telephone. Please leave a message on the contact numbers supplied. You can use text as an alternative or e-mail.

Social Media and Digital Policy:

We prefer to gain information and knowledge about you from you through our therapeutic relationship. We will not google you, search for information on you or accept requests to be friends on Facebook or linked-in. However should we be concerned about your wellbeing or that of somebody else, and be unable to contact you in any other way, we may do an internet search. We would disclose this as soon as subsequent contact had been established.

Concessionary (discounted) therapy:

We may offer you, if appropriate and following an initial assessment at prevailing charging rates, the opportunity of working with a psychotherapist in training. The rate charged to you for on-going sessions will cover room costs and administrative costs only. No further profit or income will be made from these sessions.

You are welcome to consider this alternative reduced cost facility.

Complaints Procedure:

In the event of concern or complaint we ask that you raise this with us in the first instance. We will raise this with through our appropriate supervisory channels without exception. Alongside this you can informally discuss any concerns or complaints with a member of the Ethics Committee of the British Association of Counsellors and Psychotherapists (BACP – membership 594868) and/or UK Association for Transactional Analysts (UKATA – membership 3558).  Should you wish to have a copy of these please ask.
